Updating Capitol Sales Data

 

This post will demonstrate two processes:
  • How to update your product database that comes shipped with the Capitol Sales reseller version of SI5.5 Estimator with new products that have been added since you installed SI5.5 (the instructions also apply if you have the Professional version of SI5.5 and are a Capitol Sales dealer and wish to add their catalog of products to your SI5.5 database). 
  • How to then update your data with .jpg images, dimensions, and Input/Output data for your products.
 

Updating your SI5.5 Database with a Capitol Sales CSV File

 
Once you have downloaded the CSV file from the Capitol Sales website, you will want to import the file using our EZ Match interface. This file will contain products already in your SI5.5 database as well as new products that have been added to the Capitol Sales catalog.
 
Note: All pricing used in this example is fictional.
 
  1. Open the MMPD interface, click the Import tab, then click the [EZ Match] button:

  1. Browse to the CSV file. A preview of the data will display in the list.

  1. Click the [Next>] button. Step 2 is where you will decide what fields you want to import. Since this CSV spreadsheet matches our database structure, every field in the CSV file should be an exact match and no action will be required on this step. 
Note: If you are going to update the current products in your SI5.5 database (Exact product matches, Step 4 of the EZ Match process) then you might not want to update the Unit Labor Hrs field if you have made adjustments to that field. If these are all new products (Unmatched products, Step 6 of the EZ Match process) then leave all fields selected. If you want to do both, that is update your existing products AND import new products, then you would do this process twice. Once to update the existing products with the appropriate fields and once again to import the new products with all fields selected.

  1. Click the [Next>] button. Step 3 is where the list of Manufacturers in the CSV file will display and will either be mapped to exact matches in your SI5.5 databases or close matches. For the close matches that are incorrect you can use the dropdown menu to choose not to import the products or you can choose to import as new manufacturers. In this example I chose to import all the close matches as new manufacturers.

  1. Click the [Next>] button. Step 4 is where you will see all of the exact matches found between the data in the CSV file and the data in your SI5.5 database. This match is based on Manufacturer and Model fields.

  1. Click the [Next>] button. Step 5 is where close product matches will display. This grid will most likely be blank unless you have changed the Model number of any products in your SI5.5 database:

  1. Click the [Next>] button. Step 6 is where the unmatched products will display. These will be created as new products in your SI5.5 database:

  1. If you do not wish to import these new products, use the Deselect All button to uncheck them:

  1. Click the [Next>] button. Step 7 is where you will verify your selections.

  1. When ready, click the [Import] button. You will be prompted to backup your local database prior to importing.

 

Updating your Capitol Sales Products with Additional Fields

 

The data that is provided with your Capitol Sales version of SI5.5 Estimator install (and the data in the CSV file) is ready to be added to a proposal once you enter your selling price (Unit Price) for the products. The fields that are included in this data are: Manufacturer, Model, Category, Type, Product Description, Client Description, MSRP, UnitCostA, Phase, Unit Labor Hrs, and Vendor Name. Fields that are NOT included in your database are dimensions, Inputs/Outputs (I/Os), or a .jpg image for the products. However, it is likely that this additional data is available on the D-Tools Product Server and can be downloaded to update your products.
 
For Estimator users, only the .jpg images for products really apply since dimension and I/Os are used in our Visio and AutoCAD drawing interfaces available only in the Professional version of SI5.5. Although these fields may not be relevant to you now, there is no harm in updating your products with the data now so you have it if you decide to upgrade to the Professional version.
 
Note: The following steps require that you have D-Tools’ Data Subscription Service. If you have the Data Subscription Service you will see a number on the bottom-right corner of the Download Tree interface within the MMPD. If you do not have Data Subscription, see step 2b below.

  1. Open the MMPD interface and click the Download tab followed by the [Download Tree] button.

  1. Use the drop down menu to filter to “New and Updated Content for My Manufacturers”:

  2b.    For those without Data Subscription, click the Options link and then choose to filter to "MVP Manufacturers" on             the Options form:

  1. Select the Manufacturers you wish to update. We recommend doing one manufacturer at a time. Generally we recommend that you don’t check the box next to the manufacturer name, but rather expand the tree and select only the specific products you wish to download/update but in this example we will be using the EZ Match Download Mode so we can weed out products we don’t want easily during the process.

  1. Use the dropdown menu to change your Download Mode to “EZ Match” then click the [Download] button:

  1. The EZ Match interface will open and Step 1 is where you can preview the data:

  1.  Click the [Next>] button. Step 2 is where you will decide what fields you want to import. In this example, my only intent is to update the existing products in my database and not add new products so I unchecked the Unit Labor Hours since that is a field that I likely would have modified for many products. Since I rely on the Capitol Sales spreadsheet for pricing, I also unchecked the MSRP field.
     
Warning: any field you don’t want overwritten needs to be unchecked prior to proceeding

  1. Click the [Next>] button. Step 3 is where the list of Manufacturers in the CSV file will display and will either be mapped to exact matches in your SI5.5 databases or close matches. There should only be exact matches unless you’ve modified the manufacturer name in your database at some point:

  1. Click the [Next>] button. Step 4 is where you will see all of the exact matches found between the data in the CSV file and the data in your SI5.5 database.

  1. Click the [Next>] button. Step 5 is where close product matches will display. This grid will most likely be blank unless you have changed the Model number of any products in your SI5.5 database.

  1. Click the [Next>] button. Step 6 is where the unmatched products will display.  These products are pre-checked and these will be created as new products in your SI5.5 database if you decide to import them. Once again, in this example I am not interested in adding new products to my database so I clicked the “Deselect All” button.
     
Warning: failure to de-select these products will import them as new products and if you unchecked any fields in Step 2 will not by imported for these new products.

  1. Click the [Next>] button. Step 7 is where you will verify your selections.

  1. When ready, click the [Download] button. You will be prompted to backup your local database prior to importing.
    Once imported, the additional product data will have been added to your database. In this example a .jpg image was added for this product:
